1.1 All bookings must be confirmed in writing via email or through our online booking form.
1.2 A non-refundable deposit of 30% to 50% is required to secure your reservation.
1.3 The balance must be paid at least 5 days prior to the tour start date.
1.4 For bookings made less than 7 days before the tour, full payment is required immediately.
2. Cancellations and Refund Policy
2.1 If a client cancels a booking, the following fees apply:

3.1 ID Trails reserves the right to make changes to tours due to unforeseen circumstances such as weather conditions, natural disasters, political unrest, health emergencies, or operational challenges.
3.2 If changes are significant, we will notify you and provide suitable alternatives. If alternatives are unacceptable, you may receive a full or partial refund depending on the situation.

5. Health, Safety & Vaccinations
5.1 It is your responsibility to ensure that you are medically fit to travel.
5.2 Travelers should consult their doctor for vaccinations such as Yellow Fever, Hepatitis, Typhoid, and Malaria prophylaxis.
5.3 Please disclose any pre-existing medical conditions or allergies when booking.
5.4 ID Trails reserves the right to refuse clients whose health poses a safety risk to themselves or others.
5.5 ID Trails is not liable for injuries or accidents that occur due to failure to follow instructions.
6. Visas and Entry Requirements
6.1 Travelers must have a valid passport (with at least 6 months validity) and obtain any necessary visas.
6.1 ID Trails can advise but is not responsible for denied entry or issues caused by incomplete documentation.
7.1 We select accommodations based on comfort, safety, and location.
7.2 Star ratings and facilities may vary between locations and destinations.
7.3 In rare cases, we may substitute accommodations with similar standards based on availability.
8. Group and Family Tours
8.1 Children must be supervised by parents or guardians at all times.
8.2 Some activities may have age or height restrictions (e.g., the minimum age for gorilla trekking is usually 15 years).
9.1 Respect local culture, wildlife, and the environment.
9.2 Do not litter, disturb animals, or engage in illegal activities.
9.3 Offensive or disruptive behavior may result in removal from the tour with no refund.
10. Photography and Media Use
10.1 ID Trails may take photos or videos during the tour for marketing purposes. By participating, you grant us permission to use these materials unless you opt out in writing.
10.2 Please ask for permission before photographing local people.
11. Complaints and Dispute Resolution
11.1 We encourage clients to voice complaints immediately to the guide so that issues can be resolved on the spot.
11.2 If unresolved, written complaints must be submitted via email within 7 days of trip completion.
11.3 Disputes not resolved amicably might be handled under Ugandan law in the appropriate courts.
12. Intellectual Property
12.1 All content on our website, brochures, and digital platforms (texts, images, logos) is the property of ID Trails.
12.2 Unauthorized use, duplication, or distribution is prohibited.
